The single biggest lever on a renovation contractor's close rate is the quoting workflow. Not price. Not brand. Not portfolio. The specific sequence of what happens between the walkthrough and the signed contract determines whether you close 30 percent of quotes or 78 percent. This is the exact renovation quoting workflow that closes at 78 percent in 2026, broken into the seven steps that matter.

Why renovation quoting is different from generic quoting

A renovation quote is not a service quote. It carries structural risk, material lead times, unknown subfloor conditions, permit dependencies, and a client who is emotionally invested in a specific outcome. A generic quoting template that works for a landscaping crew does not work for a kitchen remodel. Renovation quoting needs milestone billing built in, line item markup discipline, photo attachments, and a scope of work that reads like a contract, not a receipt.

The 7 step renovation quoting workflow

Step 1. Walkthrough within 48 hours of the inquiry

Every hour that passes between the initial inquiry and the walkthrough drops close rate by roughly 8 percent. The 48 hour turnaround is the industry benchmark for quotes that convert. If a homeowner has to wait a week for you to see the space, they have already booked walkthroughs with two of your competitors.

Step 2. Photograph everything at the walkthrough

30 to 60 photos of the space. Wide shots of every wall. Close ups of anything that hints at structural or plumbing surprises (subfloor gaps, old wiring, dated plumbing stacks). These photos serve three purposes. They document existing condition (protects you against later scope disputes). They fill the quote itself with visuals (which lifts close rate). They flag risks that need contingency line items before you send the quote.

Step 3. Draft the quote from a saved template. Not from scratch.

Every renovation shop should keep 4 to 6 templates ready. Kitchen full renovation. Kitchen refresh. Full bathroom. Bathroom refresh. Deck build. Whole home. Each template has the standard line items, markup rules, tax, warranty, milestone schedule, and scope wording already dialed in. A fresh quote takes 20 minutes to adjust, not 3 hours to write from a blank Word doc.

Renovate ships all six templates in Pro. Duplicate, tweak, send.

Step 4. Attach a Renovation Preview mockup for kitchen and bath work

Estimates that include a photorealistic mockup of the finished room close at nearly 40 percent higher rates than plain text estimates. This is the single highest ROI line item you can add to your quoting workflow. Snap the room photo at the walkthrough, generate 2 to 3 style options in 30 seconds each, attach the winning mockup to the quote before you send.

Step 5. Send within 24 hours of the walkthrough

Same rule as step 1. Every hour between walkthrough and quote send drops close rate. Aim for same day send if the walkthrough was in the morning. Latest is next business day by noon. If you cannot ship in that window, your quoting workflow has a bottleneck you need to fix (usually a manual data entry step or waiting for supplier pricing that could be pre stocked in templates).

Step 6. Send as an interactive link, not a PDF

PDFs are dead documents. The client opens, scrolls, closes. Interactive quotes let the client review each line, click accept, add notes, request changes, and forward to their spouse for approval. Every one of those actions is trackable. You see when the client opened the quote, how long they spent on each section, and whether they replied yes on the spot or need a nudge. All from the same tool.

Step 7. Follow up on day 3, day 7, day 14

35 percent of quotes get signed on the initial send. Another 15 to 20 percent get signed on the follow up sequence. If you send and go silent, you are leaving that second bucket entirely. Automated follow up (day 3 nudge, day 7 offer to answer questions, day 14 close the loop) is the difference between a 40 percent close rate and a 78 percent close rate.

The quoting metrics every shop should track

  • Turnaround time from inquiry to quote sent. Target under 72 hours.
  • Close rate per quote type (kitchen, bath, whole home). Should climb to 60 percent plus after 20 quotes sent from the same template.
  • Average quote value. Watch for drift toward lower value quotes over time. Signal that you are attracting price shoppers instead of qualified buyers.
  • Time to accept. Median should be under 5 days. If it is trending up, your quoting workflow has friction (missing photos, unclear scope, buried price).
  • Reopen rate. Percent of accepted quotes that get renegotiated before invoice. Should be under 8 percent. Higher means scope was too vague.

The one line to add to every quote

"This quote is good for 30 days from the send date. Materials pricing subject to supplier availability on the day the deposit clears."

One line, protects you against 6 month long client indecision and supplier price changes. Nobody argues with it, everyone signs it.

Renovate ships every step of this quoting workflow in one workspace. Renovation quote templates, one click accept, automated follow ups, Renovate AI mockup attachments, and full markup discipline built in. From $29.99 per month. See Renovation Quoting or sign up for Renovate Pro.
