What a contractor invoice should include
A clear invoice number and due date
Sequential numbers make your books and follow ups simple. Put the due date in large type near the total.
The milestone or phase being billed
On progress billing, name the stage this invoice covers so the client knows exactly what they are paying for.
Change orders listed separately
Never fold approved extras into the base line items. List each change order with its own number and amount.
Retainage, if your contract has it
Show the retainage held on this invoice and the running total held to date, so the final retainage release is not a surprise.
Previous payments and balance
Show contract amount, total billed to date, payments received, and the amount due now, so the math is auditable.
Payment terms and a late fee
State Net 15 or Net 30, the accepted methods, and the finance charge on past due balances. A stated late fee gets invoices paid on time.

Retainage is a percentage of each payment, usually 5 to 10 percent, that the client holds back until the job is complete and accepted. It is released with the final invoice once the punch list is done.
Can I charge a late fee on an unpaid invoice?+
In most states yes, if the late fee or finance charge is stated in your contract and invoice and is reasonable. Check your state's limits on the maximum monthly rate.
