The punch list is the last step between substantial completion and the final payment. Walk the job with the client, write down every item, assign an owner and a date, and confirm each one is done. Work through the list quickly, because the final payment is usually tied to it.

  • Job name, address, and client
  • Date of the walkthrough and who attended
  • Reference to the contract and any approved change orders

Items by room

  • One section per room or area
  • For each item: what needs to be fixed, the trade responsible, and a due date
  • A status column: open, in progress, done

Common items to check

  • Paint touch ups, caulk lines, and trim gaps
  • Doors and drawers that stick or do not close
  • Outlets, switches, and fixtures that need adjusting
  • Scratches, chips, or damaged surfaces
  • Final cleaning and debris removal

Sign off

  • Client confirms each item is complete and signs and dates the list
  • Contractor signs and dates
  • Final payment due date referenced from the contract

How to run a punch list well

Walk the job with the client

Do the walkthrough together so every item is agreed on the spot instead of discovered later.

Write every item down

If it is not on the list, it is not tracked. Photos help for anything you may need to explain.

Assign an owner and a date

An item without a name and a date does not get done. Keep the list short enough to finish within days.

Close the loop in writing

Get a signed confirmation when the list is complete so the final payment is not delayed by open questions.

Tie it to the final payment

Hold a small final payment, often around 5 percent, until the punch list is signed off. State this in the contract.

What is a punch list?
